400 Guests, One Venue and a Full Day of Events

Find a Venue was asked to source a venue in Ireland for a major company conference bringing together around 400 staff, suppliers, pharmacists and healthcare advisors. Following an extensive venue search, Lyrath Estate in Kilkenny was selected for the event.

The venue needed to support a full conference programme from 9am, followed by an employee recognition dinner for more than 200 guests that evening. Accommodation was also required for 60 attendees, organisers and speakers travelling from further afield.

This meant finding much more than a conference room with sufficient capacity. The client needed professional conference facilities, strong food and hospitality, quality accommodation and an evening setting suitable for recognising employees, all within the same property and within the agreed budget.

This is how the event came together.

The Brief

The client needed to bring together around 400 staff, suppliers, pharmacists and healthcare advisors for a full-day conference, followed by a separate employee recognition dinner for more than 200 guests that evening.

The challenge was not simply finding a venue with enough capacity. Attendees would be travelling from different parts of Ireland, so the location had to be practical, while the property itself needed to provide professional conference facilities, AV, quality food and hospitality, an impressive setting for the evening event and onsite accommodation for 60 attendees, organisers and speakers.

Keeping everything within one property was an important part of the brief. The venue had to work for a professional conference from 9am before changing pace for the evening dinner, drinks and music, with the full event continuing until approximately 11.30pm.

All of those requirements also had to be delivered within the client's overall event budget. Finding one venue that could combine the scale, facilities, accommodation and five-star experience required across a fourteen-and-a-half-hour event was the challenge Find a Venue needed to solve.

The Solution

The search started with a detailed briefing rather than simply looking for a hotel with enough capacity. Find a Venue needed to understand what a successful event looked like for the client, which requirements were essential, which were desirable, what locations were practical for people travelling from across Ireland and where the overall budget needed to sit.

That distinction was important. A venue might comfortably accommodate 400 conference delegates but fall short when it came to the employee recognition dinner, accommodation, food and hospitality or the standard of experience the client wanted to provide.

Find a Venue carried out extensive availability checks across suitable properties and assessed the responses against the complete brief. A shortlist of the strongest options was then presented to the client, with Lyrath Estate in Kilkenny ultimately selected.

Lyrath offered the conference infrastructure required for an event of this scale, including dedicated conference facilities, flexible meeting spaces, AV and presentation facilities, breakout options and high-capacity Wi-Fi. Just as importantly, it could accommodate the very different requirements of the evening event within the same five-star property.

More than 200 guests would be attending the employee recognition dinner, while 60 attendees, organisers and speakers required overnight accommodation. The combination of professional conference facilities, five-star food and hospitality, evening event space and on-site accommodation meant Lyrath could support the complete event rather than solving only one part of the brief.

For Find a Venue, that was ultimately what made Lyrath the right recommendation: it matched the event as a whole, not simply the guest number.

From Conference to Employee Recognition Dinner

The event began at 9am, with around 400 staff, suppliers, pharmacists and healthcare advisors coming together for the daytime conference.

Presentations, guest speakers, networking and refreshment breaks formed part of the programme, with the client’s internal organising committee coordinating the speakers, including Keith Barry.

The evening was a separate part of the programme rather than a continuation of the full 400-person conference. More than 200 guests attended the employee recognition dinner, where the atmosphere moved from a professional daytime conference to a more relaxed evening of gala dining, drinks and music.

Food and hospitality were important throughout the day. Refreshments and snacks supported the conference programme before the evening moved into the gala dinner and drinks. This change of pace was an important part of the original brief, allowing employees to move away from the working environment and enjoy the recognition element of the event.

For the 60 attendees, organisers and speakers staying overnight, accommodation was available onsite. Keeping the conference, dinner and accommodation together at Lyrath Estate meant there was no need to move guests between different properties during an event that ran for approximately fourteen and a half hours, finishing at around 11.30pm.

The Outcome

The 2025 conference successfully brought together around 400 attendees for a full day of presentations, networking and hospitality, followed by a separate employee recognition dinner for more than 200 guests.

The different elements that had shaped the original venue search came together across the day. Lyrath Estate provided the conference facilities and AV required for the daytime programme, refreshments and snacks throughout the conference, five-star food and hospitality for the evening event, and onsite accommodation for the 60 attendees, organisers and speakers staying overnight.

The evening gala dinner, drinks and music provided a clear change of atmosphere after the professional daytime conference, while keeping everything within the same property made the transition straightforward for both organisers and guests.

The strongest indication that the overall solution worked came afterwards. The client returned to Lyrath Estate for the same event in 2026 and has since booked again for 2027.

For Find a Venue, those repeat bookings are particularly significant. The original challenge was not simply finding a venue with enough capacity. It was finding one property capable of delivering every major part of a complex corporate event to the standard the client required. Three consecutive bookings at Lyrath Estate are a strong reflection of how well that original venue choice matched the brief.
